How to Reduce PDF Size for Online Form Uploads

By Betsan · Updated 15 October 2026 · 4 min read

Government, exam and scholarship portals such as TNPSC, SSC and state scholarship sites often reject certificates that are larger than 100 KB, 200 KB or 500 KB. Here is how to make a PDF small enough without making it unreadable, on a phone or a computer.

Open Compress PDF to 200KB →Shrink a PDF under 200KB for government job forms. Free, files stay on your device.

Step 1: Check the exact limit on the portal

Look at the upload screen or the notification. Note the maximum size (and the minimum, if there is one) for each document. Limits are usually written as KB: 1 MB is 1,024 KB. If a limit is "200 KB", aim for around 180 KB to be safe.

Step 2: Compress the PDF to the target size

  1. Open Compress PDF to 200KB (or the 100KB, 500KB or 1MB version that matches your limit).
  2. Choose your PDF. For black-and-white certificates, tick grayscale: it often halves the size.
  3. Click "Compress PDF". The tool recompresses the images inside first, and only lowers the resolution if that is not enough.
  4. When you see the green "Under 200 KB" message, download the file and open it to check the text is readable.

Step 3: If it still will not fit

  • Upload only the pages asked for: use Split PDF to keep just page 1 of a long mark sheet.
  • Rescan in grayscale at 150 DPI instead of colour at 300 or 600 DPI. Scanner apps on phones have this setting.
  • Crop the white margins and the table around the document before making the PDF.
  • If you only have photos of the document, make the PDF with JPG to PDF and choose a small page size.

Why some PDFs will not compress

A PDF made from Word with only text is already small; most of the size in a large PDF comes from scanned images or photos inside it. That is why compression works best on scans. A PDF that is mostly text and still large usually has fonts embedded, and the compressor keeps them so the document looks the same.

Frequently asked questions

Is it safe to compress certificates online?

With BA Convert, the PDF never leaves your device: compression runs in your browser. That matters for Aadhaar, caste and income certificates. Avoid sites that upload documents to their servers.

Will the portal accept a compressed PDF?

Yes. A compressed PDF is still a normal PDF. Portals only check the file type and size, and sometimes that it is not password-protected. If a portal rejects it, check the size in KB again and that the file name has no special characters.
